Rental Apartment Checklist

Documentation requirements vary by landlord, building, property, and renter circumstances. You may be asked to provide items such as:

  • Employment letter on company letterhead stating your job title, job functions, salary, and length of employment.
  • Three most recent pay stubs.
  • Three most recent bank statements.
  • Two most recent years of tax returns.
  • Copy of photo Identification.

  • Money for an application and credit/background check fee. These fees are generally limited to $20 under New York law, subject to applicable exceptions.
  • If the guarantor or occupant is self-employed, they’ll need to get a letter from their accountant stating their income.

The credit check fee is generally non-refundable whether your application is approved or denied. However, the amount may be transferable to another apartment application.

Before making any payment intended to take an apartment off the market, obtain written information stating the amount, what the payment is for, whether it is refundable, the circumstances under which it may be retained, and whether and how it will be credited toward amounts ultimately due.

They’ll Need to Provide Paperwork Work, Too

If you’re using a guarantor or plan on having roommates, they may be asked to provide paperwork similar to the items mentioned above. Requirements vary by landlord, building, property, and individual circumstances. If the guarantor or occupant is self-employed, they may also be asked for a letter from their accountant stating their income.

Additional Documentation

  • Depending on the landlord, building, property, and renter circumstances, you may be asked for additional documentation, such as:
  • Canceled rent checks
  • References from previous landlords
  • Past tax returns

Preparing documents that may be requested can help you respond promptly during your apartment search. Confirm the particular requirements with the landlord, building, broker, or leasing agent because the required package can vary.

BROKER FEES

New York City’s Fairness in Apartment Rental Expenses (FARE) Act took effect on June 11, 2025.

A broker representing a landlord, including a listing agent, generally may not charge the prospective tenant that broker’s fee.

A renter may still choose to hire their own broker to represent them and may be responsible for the fee agreed upon with that broker.

Landlords and their agents must disclose fees that the tenant is required to pay in connection with renting an apartment.

SECURITY DEPOSITS

A residential security deposit is generally limited to no more than one month’s rent under New York law.
